Shipping Policy

1. Purpose and Scope
This Shipping Policy applies to all orders shipped by RETAIL BOX LLC (operating as Polaria) to customers worldwide. It covers all products sold on Polaria.click, including returns and exchanges. We are committed to providing safe, reliable, and cost-effective delivery while ensuring an excellent customer experience.
2. Carrier Selection
2.1 Qualification: We partner only with logistics providers holding valid licenses and adhering to applicable international, national, and local laws and regulations.
2.2 Criteria: Carriers are selected based on service quality, reliability, delivery network coverage, cost-effectiveness, and destination requirements.
3. Shipping Methods & Destinations
3.1 Standard Areas (Continental US & Major International): Primarily shipped via carriers like USPS, UPS, FedEx, DHL, or regional equivalents offering express/standard services.
3.2 Remote or Less Accessible Areas: Shipments to areas with limited carrier coverage (including but not limited to specific remote regions, islands, or territories) may utilize alternative carriers like national postal services (e.g., USPS, Royal Mail, Canada Post, Australia Post) or specialized logistics lines. Delivery times may be longer.
3.3 Special Items: Products classified as high-value, fragile, oversized, temperature-sensitive, or containing regulated materials (e.g., batteries, liquids) will be shipped via designated carriers or methods suitable for their specific requirements. Additional handling fees may apply.
4. Order Processing & Shipping Timeframes
4.1 Standard Processing: Orders placed and paid for before 2:00 PM Mountain Standard Time (MST) on a business day (Monday-Friday, excluding US federal holidays) will typically be processed and shipped within 1-2 business days.
4.2 Orders Outside Standard Hours: Orders placed after 2:00 PM MST, on weekends, or on US federal holidays will be processed on the next business day.
4.3 Product-Specific Timelines: Items marked with specific processing times (e.g., “Ships in 3-5 business days,” “Pre-order,” “Made-to-Order”) will follow the timeframe stated on the product page. This overrides the standard processing time.
4.4 Transit Times: Estimated transit times vary significantly based on destination and service level. These estimates are provided by carriers and displayed at checkout or on carrier tracking sites once shipped. They are not guaranteed delivery dates by Polaria. International shipments are subject to customs processing delays beyond our control.
5. Shipping Fees
5.1 Free Shipping: Free standard shipping may be offered on orders meeting a minimum purchase value within specific regions (e.g., Continental US). Details of any active free shipping promotion will be clearly displayed on the website.
5.2 Standard Shipping Fees: Shipping fees for orders not qualifying for free shipping are calculated based on the destination, package weight, dimensions, and selected service level. The exact cost is displayed during checkout before payment is finalized.
5.3 Remote Area Surcharge: Shipments to designated remote or less accessible areas may incur an additional surcharge. This fee will be clearly displayed during checkout.
5.4 International Fees: International shipping fees include carrier costs and may also reflect estimated customs duties and taxes (DDP – Delivered Duty Paid) or exclude them (DDU – Delivered Duty Unpaid), depending on the destination and our arrangement. The checkout process will clearly indicate the included costs. The customer is ultimately responsible for any customs fees, import duties, or taxes levied by their country if not prepaid (DDU).
5.5 Special Handling Fees: Additional fees may apply for special items requiring unique packaging, handling, or shipping methods (see 3.3).
6. Returns, Exchanges & Shipping Responsibilities
6.1 Company Error (Defective/Wrong Item): If you receive a defective product or the incorrect item due to our error, Polaria will cover the cost of return shipping and the shipment of the replacement or refund.
6.2 Customer-Initiated Returns/Exchanges (Change of Mind, etc.):
Returns/Exchanges must be requested within 30 days of delivery receipt, unless otherwise specified for specific product categories.
Items must be unused, in their original condition, and in the original packaging.
The customer is responsible for the cost of return shipping to our designated facility.
Polaria will cover the cost of shipping the replacement item for approved exchanges. For returns resulting in a refund, only the product cost will be refunded; original and return shipping costs are non-refundable.
6.3 Refused or Undeliverable Shipments: Shipments refused by the customer or returned to us as undeliverable due to an incorrect or insufficient address provided by the customer will result in a refund of the product price minus the original shipping costs and any return shipping/customs fees incurred by Polaria. A restocking fee may apply.
7. Risk of Loss & Title
Ownership (title) of the products and the risk of loss or damage pass to you upon our delivery of the items to the carrier for shipment. Once the carrier scans the package as accepted, responsibility for transit damage or loss primarily lies with the carrier, though we will assist in filing claims.
8. Order Tracking
A tracking number will be provided via email once your order has shipped. You can use this number on the carrier’s website to monitor your shipment’s progress.
9. Address Accuracy & Verification
Customers are responsible for providing a complete, accurate, and deliverable shipping address at checkout. Polaria is not liable for delays, returns, or losses resulting from incorrect, incomplete, or undeliverable addresses provided by the customer. We may attempt to verify addresses and contact customers if issues arise, but cannot guarantee resolution before shipment.
10. Prohibited & Restricted Items
We comply with all applicable international, federal, state, and local laws and carrier regulations regarding restricted or prohibited items. Customers are responsible for ensuring items ordered comply with the laws and import regulations of their destination country. We reserve the right to refuse shipment of any item we deem potentially problematic.
11. Force Majeure
Polaria shall not be liable for any delays or failures in performance resulting from acts beyond our reasonable control. This includes, but is not limited to, natural disasters, war, terrorism, pandemics, government actions, labor disputes, severe weather, or significant disruptions in carrier networks.
12. Insurance
While carriers provide basic liability coverage, we recommend customers consider purchasing additional shipping insurance for high-value items, especially for international shipments. Polaria is not liable for loss or damage covered by carrier insurance or beyond the carrier’s limited liability.
13. Policy Updates
RETAIL BOX LLC (Polaria) reserves the right to modify this Shipping Policy at any time. The most current version will always be posted on our website (https://polaria.click/shipping-policyor similar). Changes become effective immediately upon posting.
